The agreement

By creating an account you agree to these terms. If you are agreeing on behalf of a company, you confirm you may bind it.

What PileProof is, and what it is not

PileProof is a record-keeping tool. It records what your crew enters, applies the thresholds in the compliance profile you choose, and prints what it found.

It is not legal advice, and it is not a guarantee of compliance. It cannot tell you whether your permit is satisfied — only you and your regulator can. Verify report formats and thresholds with your state agency and your permit. That line is on every page and on every document it generates, deliberately.

We do not file anything with any agency on your behalf, and there is no connection to any regulator.

Your account

You are responsible for what happens under your account, for the accuracy of what your crew records, and for keeping your team list current. Removing someone ends their access immediately.

Do not use PileProof to break the law, to store someone else's data without their permission, or to attack the service.

Trial, payment and cancellation

The trial runs for 14 days and needs no card. When it ends, logging pauses until you subscribe. Reading, reporting and exporting never pause.

Subscriptions are billed monthly in advance through Stripe and renew until you cancel. Cancel any time from the billing screen; you keep access until the end of the period you have paid for.

We do not refund part-months by default. If something went genuinely wrong, write to us — we would rather sort it out than argue about it.

If a payment fails, we keep letting your crew log temperatures for a while rather than cutting you off mid-batch. Losing a day of readings is a compliance problem; a failed card is a billing one.

We may change prices, but not for an existing subscription without telling you at least 30 days beforehand.

Your data

Your compliance records are yours. We claim no ownership of them and we do not use them for anything except running the service for you.

You can export everything at any time, including after cancelling. If we ever shut the service down, we will give you notice and time to get your records out.

Availability

We work to keep PileProof running, but we do not offer a service-level guarantee and you should not treat it as your only copy of a legally required record. Export the audit binder periodically.

The logging screen keeps working with no signal and syncs when the phone reconnects, so a network outage does not stop your crew recording.

Liability

To the extent the law allows, our total liability is limited to what you paid us in the 12 months before the claim. We are not liable for lost profits, lost business, or regulatory penalties.

Nothing here limits liability for fraud, or for anything that cannot lawfully be limited.

Ending it

You can close your account whenever you like. We may suspend an account that is being used to attack the service or break the law, and we will tell you why.
